Reconciling sales against payments means confirming that every order in your system has a confirmed payment in Conekta for the correct amount. Doing it regularly — daily or weekly — catches pending payments, duplicate charges, and unpaid orders early.
Before you start
- Export the period's sales from your store or system, with their reference or order number.
- Make sure your charges include that reference: it's the key for matching.
- Use the same date range on both sides, taking the time zone into account.
Steps
Download the payments report for the period
Generate the payments report in the Conekta Panel with the same date range as your sales export.
Match each order to its payment
Pair the rows using the reference or order column. Each sale should have exactly one payment; an order with two payments is a sign of a possible duplicate charge.
Check the status of each payment
Only payments with the status Paid count as money collected. Pending payments (incomplete cash payments or bank transfers) and declined payments shouldn't mark the sale as collected.
Compare gross amounts
The sale amount should match the payment's gross amount — not the net amount, which already has fees deducted. Flag any amount discrepancy to review separately.
Log the exceptions
List the orders without a payment, the payments without an order, and the amount discrepancies. That's what you still need to investigate; everything else is reconciled.
Expected result
When you're done, your sales for the period are matched to confirmed payments, and you have a short list of exceptions whose cause still needs to be identified.
